The UIC Summer Session Office is seeking a Graduate Assistant to provide high-level student services support for the Summer Session Program. The position would be for the spring semester approximately 20 hours/week, with the possibility of continuing for the summer, pending availability of funding and performance. The position may be eligible for a tuition waiver, contingent on hire date, enrollment requirements, etc.
The Summer Session Office manages the university's summer session by promoting UIC's summer courses, administering the course budget, and providing student services to both campus students and visiting students from other schools interested in enrolling in summer courses. The office keeps regular weekday business hours of 9 a.m. to 5 p.m. but also occasionally participates in recruitment events during the evenings or weekend.
Duties & Responsibilities
The Graduate Assistant will be responsible for the day-to-day student services functions for the Summer Session Program. As primary contact on the program’s frontline, the person in this position is in direct contact with students and prospects, responding to general phone, e-mail, online chat about summer session. S/he supports students by providing guidance and information regarding program/course details, tuition rates and payment processes, admissions/registration processes and campus resources. In addition, this position will assist with administrative/clerical functions of the office.
Duties include:
Respond to email and online chat inquiries. When needed, forward inquiries to appropriate staff and/or track more complex inquires through to resolution.
Maintain familiarity with summer application, admission, registration requirements and procedures. Responsible for assisting students with issues related to i-cards, campus parking, grades, transcripts, etc.
Maintain familiarity with tuition & fees, refund policies, procedures, deadlines, etc.
Responsible for entering and maintaining accurate record of general student inquiries in database.
Schedule permitting, assist staff at campus outreach/recruitment events (for example, table/booth at Open House).
Maintain accuracy of summer course offerings on website and internal lists by reviewing campus data on courses and enrollments.
Collect and maintain archive of summer course syllabi.
Maintain inventory of summer session giveaways and supplies.
Assist staff with additional projects as needed.
Qualifications:
Minimum Qualifications
- 1-2 years of related experience; experience in a student/customer service environment preferred
- Must possess excellent written and verbal communication skills
- Must be friendly, dependable, detail-oriented, and organized.
- Firm working knowledge of Microsoft Office applications required, especially Word and Excel.
- Must be able to effectively handle multiple priorities and independently manage assignments.
