Position Summary
The Graduate Assistant (Patient-centered Medicine Program Coordinator) provides administrative support to the Director and Assistant Directors of Medical Student Education in Family and Community Medicine. This position will manage selected activities related to the administration of medical student education in the Department of Family and Community Medicine.
Functioning under the Director of Administrative Operations and supervised by the Associate Head for Faculty Development and Research/Director, Patient-centered Medicine (PCM) Scholars Program, the Graduate Assistant provides high-level administrative and managerial support to the administrative office of the Department of Family Medicine, using initiative, independent judgment, and discretion, and prioritizes in a high-volume environment while meeting strict deadlines. The duties performed require extensive knowledge of the organization, programs, policies, and procedures of the institution.
Duties & Responsibilities
- Provides administrative support to the Associate Head for Faculty Development and Research/Director, Patient-centered Medicine (PCM) Scholars Program
- Coordinates and schedules learning activities for medical and other health professions students in the following areas:
- M1 students participating in the Patient-centered Medicine (PCM) Scholars Program (~30 per year)
- M2 students participating in the Service-Learning Program (SLP) (~30 per year)
- M4 and other health professions students participating in the Interprofessional Approaches to Health Disparities (IAHD) Program (~30 per year)
- M1-M4 students participating in the Education-Centered Medical Home (ECMH) Program (~40 per year)
- Distributes, collects, and tracks evaluations for PCM, SLP, IAHD, ECMH. Submits grades are submitted to the office of the registrar where applicable
- Distributes and tracks paperwork, including evaluations for various programs, and communicates timely feedback to faculty, students, and community partners
- Generates reports detailing program activities
- Coordinates and assists in program administration for various student activities, including room reservations and catering orders for program events
- Serves as liaison with participating community partners
- Maintains administrative and educational software, including Blackboard/Canvas and UIC Box, and Program listservs
- Processes financial transactions including, but not limited to, P-card and T-card purchases, iBuy, invoice vouchers, TEM, etc.
- Orders office supplies for education programs
- Performs other related duties and participates in special projects as assigned
Minimum Qualifications
- Currently enrolled as a graduate or post-grad student at the university Chicago Campus
- Knowledge of Microsoft Office Suite and Publisher programs
- Knowledge of a variety of accreditation standards for medical education programs. Knowledge of basic accounting
- Excellent oral and written communication and organizational skills
- Ability to exercise independent judgment, resolve problems, and exercise discretion. Ability to take and incorporate feedback, multi-task, and deal effectively with a variety of people
- Ability to work under pressure and deadlines; Must be able to rapidly comprehend, prioritize, and expedite all aspects of office operations
Preferred Qualifications
- Prior experience of working in an educational setting
