Position Description
Rush Medical College is looking for Proctors to assist on an as needed basis with administering a variety of computerized assessments to students enrolled in medical school. Please Note: This is a part-time, contractor position. The number of Proctors used varies over the course of the academic year depending upon the number of assessment events and event specifications. Being hired as a Proctor does not guarantee that you will be used for all of the assessment events.
Proctors are expected to communicate with students and other assessment personnel in a professional manner and demonstrate the highest ethical standards in protecting the confidentiality and integrity of all exams. Proctors will act in accordance with medical school policies and procedures. The exams administered at the medical school are high stakes and security is of the utmost concern. Therefore, proctors will need to be concerned about security and confidentiality at all times.
Essential Duties and Responsibilities
Memorize, follow, and enforce all assessment and Testing Center policies, procedures, and protocols. Create a professional and pleasant atmosphere to facilitate optimal test performance in all examinees. Be sensitive to examinee needs, and provide courteous aid to examinees as appropriate. Maintain a quiet, controlled, and distraction-free environment conducive to high-stakes testing. Gather, organize, transport, set up, distribute, collect, account for, return, and securely store all assessment equipment and materials. Verify identification, check in, seat, and check out examinees. Provide clear oral and written instructions to examinees. Ensure that assessments start and finish according to the assessment schedule. Vigilantly monitor examinee conduct during assessments to ensure a secure assessment environment. Deter and detect academic dishonesty. Document and report suspicious and irregular activity. Troubleshoot problems as they come up during the administration of assessments (e.g., software freezes, downloads not available). Verify that each examinee has uploaded or submitted an assessment before he/she leaves the testing station. Escort examinees for restroom breaks. Maintain test security to ensure confidentiality and integrity of all assessment materials, logs, procedures, and other documents. Administer assessments to students who have a variety of special accommodations, including but not limited to reading tests, scribing tests, or providing a special testing climate. Perform a variety of administrative duties related to administering assessments (e.g., filling out activity logs, documenting examinee attendance). If acting as Chief Proctor for a particular assessment session, orient, brief, and monitor the performance of Assistant Proctors. Perform other duties as assigned.
Required Knowledge, Skills, and Abilities
Must build trusting relationships with examinees and other assessment personnel and provide excellent, professional customer service by acting with integrity, courtesy, and responsibility, even in the face of stress or demanding workplace conditions. Must be able to communicate courteously, honestly, and directly, in verbal and written form. Must be competent in reading and memorizing detailed written and oral instructions. Must be detail oriented and able to follow exacting instructions without error. Must possess strong analytical and organizational skills in order to be able to independently and collaboratively problem solve, meet deadlines, and manage multiple tasks and frequent interruptions. Reliability and punctuality is essential. Must attend all assessment events on time, stay for the entire event, and be dependable. Must be able to work in a supportive team environment, and able to accept instruction and correction from supervising Proctors and other assessment staff. Must be available to work a flexible schedule which includes occasional evening and weekend assignments. Must be knowledgeable of or be able to quickly gain knowledge of assessment policies, procedures, protocols, and tools (e.g., Scantrons, software). Must maintain proficiency as needed and approved by attending trainings, reading job-related materials, and meeting with others in area of responsibility. Must meet all required ethical, confidentiality, and safety standards. Must dress professionally for a workplace with frequent customer service interaction. Must be able to operate Windows, OS X, and iOS operating systems and basic computer hardware. Must be able to stay vigilant, focused, and alert for long periods of silence (3+ hours). Must be able to stand and walk for extended periods of time. Must be able to lift up to 25 pounds of assessment materials.
Minimum requirements
Must be a high school graduate (or equivalent) and at least 18 years old. Must not be related, by blood, marriage, or friendship, to any students enrolled at Rush Medical College. Cannot be a current medical school student, aspiring to enter medical school, or a medical school employee. Must obtain a flu shot (University policy requires all contract employees to be vaccinated against the flu). Must not have a criminal record.
